Before an appointment, a shift handoff, or a referral intake, veterinary teams often spend valuable time piecing together a patient’s story.
The information is usually there, but it may be spread across years of medical records, outside referral documents, previous visits, treatment sheets, lab results, and different parts of the EMR. Finding the details that matter can mean scrolling through long charts, opening multiple files, or relying on a quick skim before the next patient arrives.
Instinct Science is building a faster way to surface that information directly within Instinct EMR. During a recent webinar, our team demonstrated three tools designed to help veterinary professionals find patient and practice information without leaving their existing workflow.

Turn Long Referral Records Into a Clear Summary
Outside medical records can contain dozens or even hundreds of pages. When a team has only a few minutes to prepare for a new patient, reading every page is rarely realistic.
Document Summary reviews uploaded PDF records and organizes the relevant information into an easy-to-read summary. Users can choose a problem-focused or chronological format and provide additional instructions to focus the summary on a particular concern.
The summary can pull forward information such as:
- The reason for referral
- Relevant medical history
- Active or previous medications
- Diagnostic findings
- Vaccination history
- Important clinical problems
Each finding links back to the page where the information appeared. A veterinarian or technician can review the summary, select a citation, and immediately verify the original result or note.
The summary can also be copied, printed, or shared with a client or referring veterinary team.
Ask Questions About the Patient’s Record
Sometimes a summary is enough. Other times, a team member needs an answer to a specific question. Instinct EMR’s assistant tool provides a conversational way to retrieve information already stored in the patient’s Instinct EMR record. Instead of opening several visits or searching through individual notes, users can ask questions such as:
- What is this patient’s known medical history?
- Which prescriptions has this patient received?
- What happened during the current visit?
- Which diagnostics were ordered?
- What medications have been administered?
- Are any vaccinations overdue?
The assistant can focus on the broader patient chart or an individual visit. That makes it useful for both appointment preparation and inpatient handoffs.
For example, a veterinarian beginning an evening shift can request a summary of the current visit, review active treatments and diagnostics, and ask follow-up questions without losing their place in the chart. The panel can remain open while the user reviews the treatment sheet, vitals, or other parts of the record.
The information comes from the patient’s existing chart and is linked to its source. This tool is designed to help teams locate and understand information faster while keeping clinical decisions in the hands of the veterinary professional. For the best results, ask specific questions and include relevant details about the information you’re looking for.

Search Across Instinct From One Place
Not every question requires AI. Sometimes a team member knows exactly what they need and simply needs to find it quickly.
Universal Search provides one place to search across Instinct. Users can locate patients, clients, invoices, documents, administrative pages, practice resources, and other information without navigating multiple screens.
A front desk team member can search for an account using a client’s primary or secondary phone number. From the results, they can open the patient chart, schedule an appointment, check a patient in, review account alerts, or complete other common actions.
Universal Search can also retrieve documents stored in the Practice Library, including:
- Clinical protocols
- Standard operating procedures
- Staff training materials
- Onboarding documents
- Practice reference materials
Recent searches remain available, which can help users return to a task after being interrupted by a phone call, patient need, or another urgent request.
AI Built Into the Veterinary EMR Workflow
Generic AI tools can be useful, but they don’t automatically understand a practice’s patient records, veterinary workflows, or clinical context. Moving patient information into a separate tool can also create privacy, security, and verification concerns.
Instinct’s AI features are built directly into the EMR workflow. Document Summary and the assistant tool are opt-in, administrator-controlled features supported by enterprise-grade infrastructure. Users don’t need another login, application, or tab.
Most importantly, the features are intended to help veterinary teams work with the information already inside the EMR. They don’t replace clinical judgment. They reduce the time required to find, review, and verify the information that supports it.
Spend Less Time Piecing Together the Story
The important detail you need shouldn’t be buried on page 57 of a referral PDF or several visits deep in a patient’s chart.
By bringing Document Summary, Assistant, and Universal Search into Instinct EMR, veterinary teams can prepare for appointments, manage handoffs, review outside records, and locate everyday practice information more efficiently.
Current Instinct customers can contact their customer success manager to learn more about access to these features. Veterinary practices considering Instinct can schedule a personalized demonstration to see how the tools work within a complete patient workflow.
