Documentation is one of the biggest time drains in veterinary medicine. Between seeing patients, talking with clients, and keeping records complete and accurate, the notes often pile up and follow you home at the end of the day. ScribbleVet was built to take that weight off your plate by turning the conversation you’re already having in the exam room into a complete clinical note, so you can spend less time typing and more time practicing medicine.
If you’re considering an AI scribe for your practice or you’re curious how ScribbleVet fits into your day-to-day workflow, you probably have a few questions. Below, we’ve gathered the ones we hear most often.
How does ScribbleVet work?
You record your appointment on your phone, tablet, or computer, tap Scribble, and get a fully formatted SOAP (with off-topic conversation removed) in about a minute. Review it, make any edits, and transfer it to your PIMS. That’s it!
How accurate is ScribbleVet with veterinary terminology?
ScribbleVet trains its own veterinary-specific AI models on the latest medications, clinical terminology, and clinical findings. This reduces medication and clinical term errors by more than 81% compared with general-purpose transcription, helping ensure terms (like Cerenia and carprofen) are captured accurately. In competitive trials, 91% of veterinarians rated ScribbleVet’s notes as good or excellent.
Can ScribbleVet handle multi-pet appointments?
You bet! ScribbleVet automatically generates separate SOAP sections for each patient in a single visit. No need to make multiple recordings or manually split your notes.
Does ScribbleVet hallucinate or make things up?
Like any AI-powered documentation tool, ScribbleVet isn’t immune to occasional inaccuracies, which is why we always recommend reviewing your notes before finalizing them. That said, ScribbleVet is specifically designed to generate records from the actual conversation and information captured during the appointment, rather than creating content on its own.
Audio quality has a big impact on the generated record. The clearer the recording, the more accurate your notes will be. A few small adjustments to your exam room setup can go a long way: position the device where it can pick up the conversation and try to minimize overlapping speakers (and background noise) where you can.
No AI tool can guarantee perfect results every time, so our engineering and support teams continuously review feedback, investigate reported issues, and refine our models. You also have a great deal of control over the final note through templates, custom instructions, and editing tools, and if a note ever doesn’t look quite right, our team is always available to help.
Will it pick up background conversations in a busy treatment area?
ScribbleVet filters out small talk and background noise and supports concurrent appointments, making it built to work even in busy, real-world clinic environments.
I am a _______ vet. Will ScribbleVet still work for me?
Yes! ScribbleVet supports veterinarians across all specialties and practice types, from general practice and emergency medicine to mobile, relief, specialty, and equine care. Veterinarians also have the ability to customize their notes to match their preferences and writing style.
Can I speak Spanish or another language while using ScribbleVet?
You can speak in any language and receive your clinical notes in English. Client-facing communications like Care Cards and client emails can also be translated into Spanish or French.
Do I need to speak a certain way to get my ScribbleVet notes back?
Nope! With ScribbleVet, you can conduct your appointment as you usually would. Small-talk and off-topic conversation will be automatically filtered out. Unlike other dictation services, we don’t need you to speak your punctuation, spell medication names, or worry about “erms” and “ums.”
In what ways can I customize my ScribbleVet outputs?
Many ways! We can update sections to be in complete sentences or bullet points, add or remove sections, and better arrange outputs to match your current note structure or PIMS. Additionally, many users like to customize their physical exam templates to include specific normals. For example, “General appearance: BAR” or “Musculoskeletal: No evidence of lameness.”
Do I need to buy any special equipment to use ScribbleVet?
Nope. You don’t need any additional equipment to use ScribbleVet. You can record via our app and website, so you can use it from your own phone or computer. If you want to invest in equipment to improve your practice’s workflow, check out the microphones we have tested on our blog.
Do you integrate with my veterinary PIMS?
It depends! We’ve built 1-click transfers for several PIMS. For other PIMS, our website makes it easy to copy and paste the sections you need into your system. Since our draft notes require minimal editing, it takes only 30 seconds to go from appointment to completed record.
Can my technicians and support staff use ScribbleVet?
Yes, and at no extra cost! Technicians, CSRs, and support staff are included in your subscription. They can record their own appointments, add to existing notes, and use tech-specific templates. You only pay for veterinarians.
Is my data secure?
ScribbleVet is SOC 2 Type 2 certified, meaning its systems are secure, private, and reliable, and have been audited over months of real-world use. Recordings and notes are encrypted in transit and at rest. For detailed information on our security practices, contact us at [email protected].
Do I need client consent to record appointments?
We require the client’s verbal or written consent before recording, whether during an appointment or on a phone call. Many practices simply ask for verbal consent at the start of the visit, with something like: “Do I have your consent to record this conversation so I can send it to a service that helps with my clinical documentation?” You can also incorporate a consent and release form into your client check-in documentation.
Please consult your legal team regarding consent and release requirements to ensure compliance with applicable state laws and regulations as ScribbleVet cannot provide legal advice. You can also create customized client consent posters directly from your account. Log in and go to Menu → Consent Posters. There, you can select a template, adjust the language to fit your workflow, and download it for printing.
What are the legal requirements for recording in my state?
Recording-consent laws vary from state to state, so we recommend confirming the requirements that apply to your practice with your own legal counsel. To help you get oriented, we’ve put together a blog post on recording consent laws across the US that walks through how the rules differ by state.
How do clients typically react to being recorded?
In our experience, most clients are very receptive once they understand why the recording is being used. A simple explanation usually does the trick, such as: “I use a secure recording tool during appointments so I can focus on our conversation and your pet rather than spending time typing notes. The recording is only used to generate my medical record and is handled securely.”
Many veterinarians find that clients actually appreciate it, since it allows for more eye contact and a more attentive exam rather than splitting attention with a computer screen. And if a client is ever uncomfortable, you can simply choose not to record that visit and dictate afterward instead. In practice, concerns are rare once the purpose is explained.
How do I get my veterinarians to adopt ScribbleVet?
The best way is to make it easy and low-effort, and let them see the output quickly. A simple rollout plan: have each doctor watch the short demo, then use ScribbleVet for one to three real visits and review the generated notes right after. Once they see how complete the notes are, they usually get on board fast.
It also helps to set up a clear workflow with your team, deciding who preloads the schedule, who records, who edits, and who transfers notes into the PIMS. Many practices find that their technicians are key to making this work day to day. If you’re on an Unleashed Plan, invite your doctors and staff so everyone shares the same workspace, and assign roles so access is clear.
What is ScribbleVet’s environmental impact?
We take the footprint of our technology very seriously, which is why we offset 100% of the water use and carbon emissions associated with our AI scribe at no cost to our customers.
We believe in the power of AI to give veterinary professionals more time for what matters most. But we also know that being thoughtful about technology means considering its footprint on our planet. You can read the full commitment on our Environmental Offset Program page.
